Board of Directors Meeting

Meeting Minutes
August 13, 2007

Opening:
The regular meeting of the Saxony Condominium Association Board of Directors was called to order at 7:04 PM on August 13, 2007 at the Saxony Clubhouse

Present: Adam Bresson (President), Page Perey (Vice President), Phillip Ramey (Secretary), Marcel Scheel (SUHRCO)
Not Present: Tammi Collins (Treasurer), Tricia Simon (Member-at-Large)
Quorum? Yes

Owner’s Forum

  • Noise Concerns: The Summer Reminder included that owners should keep television and stereo volumes at a reasonable level during the summer due to open windows
  • Playground:
    • Concerns expressed regarding the hardness of the playground area surface
    • Suggested addition of other playground elements
  • Building Access Gates:
    • Doors are easily opened by reaching around the mesh area; suggested that more mesh be added
    • Garage doors are being regularly used for walking access; suggested the addition of a pedestrian access door to reduce wear on the garage doors
  • Mailbox Locks: Replacing individual mailbox locks are the responsibility of the owner

Updates

  • Review of previous month’s operating budget and meeting minutes
  • Pond Status: Marcel will check with Suljo regarding repair of the pond
  • Unit #38 Parking in Driveway: Violation letter will be sent with a set date for removal of car from driveway
  • Unit #G104 Sprinkler: Sprinkler was adjusted to point away from the unit; letter will be sent to owners to confirm this has been resolved
  • Unit #B106/#B206 Plumbing Issues: Problems have been resolved; will follow up with owners of B106
  • Unit #A204 Noise Complaint: SUHRCO will provide status of violation letter

Ongoing Items

  • Rental Cap Agreement: Adam will forward draft to board members for review and approval at next meeting
  • Garbage/Recycling:
    • Page will update wording of signs
    • SUHRCO will solicit additional bids for signage
  • Parcel Boxes: MOTION to approve the purchase of two (2) parcel box units by Page, seconded by Adam and passed
  • Saxony HOA website: Phill will provide the board with a complete draft of the site by Monday, August 20th for approval by Monday, August 27th
  • Construction Updates:
    • Wysong estimates siding will be complete by the end of August and hopes to have painting complete before the rainy season; this is dependent upon weather
    • Intercom systems have been fixed
  • Property Walkthrough Report:
    • Will seek bid for replacement of pedestrian door to the garage, the addition of an additional pedestrian door, and installation of additional mesh to building access doors
    • SUHRCO will provide information regarding dog waste stations

New Items

  • Unit #10 Complaints: Adam will collect information/evidence related to complaints about the unit
  • FiOS Wiring:
    • SUHRCO will advise if the addition of fiber optic cable by Verizon would require an owner vote
    • Adam will work to collect necessary signatures to demonstrate owners are interested in service
  • SUHRCO/Wysong Response Times: Both companies should acknowledge any requests or inquiries within 24-48 hours of submission

Additional Items

  • Unit #G103 in-wall air conditioner request: MOTION to deny request for installation of in-wall air conditioner by Page, seconded by Phill and passed
  • Phill will create copies of minutes for the minutes box after minutes are approved by the board; Currently Page will continue to update the information kiosk
  • Letter will be sent to all owners reminding them that window air conditioning units are not permitted
  • Val will be contacted and asked to include both Page and Adam on construction update mails
  • Adam will CC all board members on important communications
  • Unit #C303 auto damage: Wysong will repair damage caused by leaks

Meeting was adjourned at 8:38 PM. The next general meeting will be held at 7:00 PM on September 10, 2007, at the Saxony Clubhouse.
