One of the items initiated by the 2007 Saxony HOA Board was the adoption of a Rental Cap Agreement. The above Rental Cap Agreement documents were drafted at the request of the Board and as part of the process of moving forward with this, we are posting these documents on the Saxony HOA website for community review.

Please address any comments to info[at]saxonyhoa[dot]org and we will incorporate these into the discussion regarding the Rental Cap Agreement at the next Board meeting which is being held on April 14, 2008, at 7:00 PM in the Saxony Club House.

Meeting Minutes
February 11, 2008

Opening:
The regular meeting of the Saxony Condominium Association Board of Directors was called to order at 7:00 PM on February 11, 2008 at the Saxony Clubhouse

Present: Phill Ramey (President), Caren Park (Vice President), Joanna Homer (Secretary), Tammi Collins (Treasurer), Dan Stevenson (Member-at-Large)
Others Present: Marcel Scheel (SUHRCO) Adam Bresson (Former Board President)
Quorum? Yes

Address Registration & Selection of Board Roles:
Officer Positions Elected with a Motion and a Second.

Clubhouse/Property Key Collection from former members: Adam & Tricia

Board Communications:

  • Established regular meeting dates for second Monday of each month at 7pm. Additional issues to be addressed via email communication for faster response time

Transitioning Board Action Items:

  • Barker & Martin to be approved as transition counsel; New Board Members to review information and possible other sources within the week.
  • Touch-ups: Follow up on the touch ups necessary as promised by Wysong at January meeting, including landscaping of planter boxes, painting exterior touch ups.
  • Final Punchlist from Wysong. Ensure that Wysong delivers as promised a final walk through and punch items
  • Mail Parcel Boxes: Arrived and should be installed. 2 boxes/4 units
  • Security at Saxony: continued emphasis on creating security programs including: neighborhood watch, safety issues in community. In progress.
  • SaxonyHOA.org: Add FAQ, post rental cap agreement
  • Garbage/Recycle signs: to be installed in front of dumpsters
  • Saxony Property Listings sign: Add a ‘Number to call to place listings’ sign at bottom. Order thru Kinkos.
  • Dog Waste Stations: Install and post signs in multiple locations
  • FIOS: On Verizon waitlist

SUHRCO/Marcel: (items in progress)

  • #34 broken green irrigation cover in front
  • B#106 delinquency, start foreclosure lawsuit
  • A#302/A#305 issue, resolved. Tenant to vacate
  • Satellite violations: #547, #537, #353, #533, #518, C103 (observed and provided in writing)

Wysong: (items in progress)

  • Supply complete set of building gate keys. Contact Mikayla.
  • D&C building hallway lighting may be out. Check all lighting
  • Roof issues on multi-unit buildings, improper drainage, gutters
  • C103 touch up door paint; scratched during construction
  • Remove all MultiStorage containers from premises, Westside

Board/New Items:

  • Replace missing letter ‘S’ from second entry Saxony headstone
  • Create a violation dupe pad for warnings for frequent violations
  • Replace street lights with lower intensity, energy efficient bulbs
  • Clean up cabana of old sales materials
  • Secure keys to all buildings A-G for master set

Owners Forum:

  • C103 Page Perey: Water damage in unit. Needs immediate attention
  • Pet Waste Stations: Greg’s Gardening to pick up waste every 7-10 days. Additionally, pet waste stations and sings will be installed in multiple locations
  • Recycling Containers: Suggestion to replace multiple small bins with one larger bin at each waste station to reduce confusion and extra unused containers

Ongoing Items

  • A305 Dan Stevenson: Tenant eviction by 15th of February. Homeowner to inspect door damage.
    MOTION to approve Suhrco/Marcel to repair door after the 15th and allow Suhrco access to home for repairs and costs to be billed to homeowner. Motion first and second.

Meeting was adjourned at 9:00 PM. The next general meeting will be held at 7:00 PM on March 10, 2008, at the Saxony Clubhouse.
